Straightforward IT support for small business

Microsoft Office 365

Microsoft has been listening to both their customers and their partners to make choosing the right solution for the small business a lot easier.  They have thrown out all the complicated options, that to be honest sometimes baffled us all, and implemented a simpler Office 365 plan structure.

For the small business there are now 3 main options, these are “Business Essentials”, “Business” and “Business Premium”.  These all have their Enterprise equivalents that offer more services that might be of use to the small business but for this blog I am going to concentrate on the small business offerings.

So you’re looking at Office 365 for your company and don’t know what to go with?

Setting your business requirements is very important to ensure that you choose a Office 365 solution that ticks all your boxes.  Hold on though! this is where Microsoft have pulled a blinder, with the new Office 365 offerings it is now possible to “mix and match”.  This means that if 90% of your user base fits perfectly into one of the new Office 365 offerings.  The remaining 10% might have a particular requirement for a service that is provided by a different Office 365 plan or you can purchase single subscriptions for individual applications.  Total flexibility.

So lets have a look at these plans.  All the new business plans come with 1Tb of OneDrive for Business storage per user.  They are also have a maximum user limit of 300, if you need more seats then the enterprise plans are unlimited.  Remember that all your data that is held in Office 365 is safe, secure and always available.  Just moving a small part of your infrastructure to Office 365 could save your business money and provide a robust solution with out the reliance on on-premise hardware or multiple third party vendors.

Business Essentials

This is the cheapest of the business plans and is aimed at business that already have existing and current Microsoft office products but want to take advantage of having an Exchange Online (enterprise class email and calendars with 50Gb mailbox size), SharePoint Online, OneDrive for Business, Skype for business and online Office applications.  This is a great solution if you want to dip your toe into Office365, when you are comfortable then you can upgrade to one of the other plans to provide your business with a complete solution.
The “Business” plan is very similar to the personal Office 365 plans that you can purchase.  The plan doesn’t offer any of the online services like enterprise email, SharePoint, Skype for Business.  What you do get is the full Microsoft Office application suite (Word, Excel, PowerPoint, Outlook, OneNote and Publisher for both PC, Macs and tablets/phones) and 1Tb of OneDrive for Business storage.  This plan is ideal for businesses that don’t want the full online experience of Office 365 but require the latest Microsoft Office products.  Remember that this is a subscription service and as such you will get the latest versions of the Microsoft Office applications when they are upgraded so you don’t need to pay out for new licenses for new versions.  This helps with software budgets and ensures that your staff are on the latest software for both productivity and security.

Business Premium

This is the most expensive plan in the small business plans but only by 80p! now for this extra eighty pence you get a complete business solution which we think is very good value!  This plan incorporates everything from “Business Essentials” and “Business” into one plan.  So you get enterprise email, SharePoint Online, Skype for Business, OneDrive for Business and online office applications.  In addition you get the full Microsoft Office Suite license to run on PC, Macs and tablet/phones.  This package is for the small business that wants to move to the cloud and take control of software costs in one easy payment.

With the new flexible options that Microsoft has now initiated it is possible to pick and choose parts of these plans to suit your business needs, you may want to move your email to a enterprise grade mail system but already have licenses for Microsoft Office 2010 and haven’t got the budget to upgrade this financial year.  Next year you can simply upgrade the subscription to “Business Premium” and incorporate those Microsoft Office license costs into the Office365 subscription budget and be assured that you’ll now always remain up-to-date with no additional software cost.

With a Microsoft 365 for Business subscription, your organization gets access to the most up-to-date Office applications as well as Microsoft’s flagship collaborative online services.

This blog post covers the pricing, applications, and features that come with Microsoft Office 365 subscription plans for businesses. The comparison tables below can help you choose the right plan for your organization.

Microsoft Office 365 Plans for Business Overview

Microsoft Office 365 for Business is a complete solution that brings together the best-in-class productivity of Office 365, advanced security, and device management tools. Within your organization, you and your co-workers can be more productive and work better together with Office apps, email, cloud storage, and a hub for teamwork. Microsoft Office 365 plans for business come with building tools that let you manage access to your data, keep sensitive data safe, and keep your business compliant and protected against most (but not all) security threats.

Microsoft currently offers four business plans to choose from, depending on an organization’s needs. The Microsoft 365 plans for businesses are:

Microsoft 365 Business Basic

Microsoft 365 apps for business, microsoft 365 business standard, microsoft 365 business premium.

Note that all Microsoft 365 plans for business have a limit of 300 users per license. If your organization requires more users, you may want to consider subscribing to a Microsoft Office 365 enterprise plan.

Now, let’s take a closer look at each of the Microsoft 365 plans for businesses and see what they have to offer in terms of features and pricing.

For a subscription fee of $5.00 per user/month, Microsoft 365 Business Basic (formerly known as Office 365 Business Essentials) offers web and mobile versions only of Office apps. These apps include Word, Excel, Outlook, PowerPoint, and OneNote. This entry-level plan also gives your organization access to collaborative services like Exchange Online with 50 GB of mailbox storage, SharePoint Online, Yammer, Skype for Business Online, and Microsoft Teams. Also included with this subscription is 1 TB of OneDrive cloud storage per user.

This Microsoft Office 365 plan is ideal for small and medium-sized businesses that want to unlock the benefits of cloud integration and remote work using the Office for the web suite and online communication services.

For a subscription fee of $8.25 per user/month, Microsoft 365 Apps for Business (formerly known as Office 365 Business) gives your organization access to the most up-to-date desktop versions of Office applications. These include Word, Excel, PowerPoint, Outlook, OneDrive, Access, and Publisher. The Office suite in this plan can be installed on up to 5 devices per user. None of the collaborative tools and services are available in this plan but the 1 TB of OneDrive cloud storage per user feature and the Office for the web suite are still present.

Microsoft 365 Apps for Business provides both cloud-based and on-premises Office suites to deliver the right set of capabilities to your organization. This plan is ideal for organizations whose computing workload heavily revolves around Office applications.

Priced at $12.50 per user/month, the Microsoft 365 Business Standard plan  (formerly known as Office 365 Business Premium) combines in one package the features available in both Business Basic and Apps for Business plans. In addition to the cloud-based and on-premises Office suites, Microsoft 365 Business Standard includes a complete set of collaborative tools thus making this Microsoft Office 365 plan ideal for organizations looking to expand their remote work capabilities.

Priced at $20.00 per user/month, Microsoft 365 Business Premium (formerly known as Microsoft 365 Business) includes all the features available in the lower Business tiers in addition to an advanced security infrastructure and device management tools. The Business Premium plan is ideal for organizations that require a comprehensive remote work solution with cyber threat protection and a powerful mobile management system.

Microsoft Office 365 Comparison of Plans

Here is a comparison of pricing and available apps and collaboration services between all four Microsoft 365 plans for business:

Microsoft 365 suite apps comparison

Along with the traditional Office applications and online collaborative services, Microsoft 365 plans for businesses include applications used for knowledge, insights, content, project and task management, automation, and app building.

Business plans security and management options

As stated before, when it comes to advanced security options and management tools, Microsoft 365 Business Premium is the most feature-packed plan. The other Microsoft 365 plans do include basic security tools, but they pale in comparison to the Business plan’s features, as shown below:

Despite the advanced security features available in Microsoft 365 Business Premium, third-party Office 365 backup solutions is necessary to ensure that your SaaS data is safe and recoverable.

Your Microsoft 365 data can be compromised by human error or malicious cyber threats like ransomware. Files can be deleted or encrypted even when stored in the cloud. To keep your data safe, NAKIVO Backup & Replication offers full backup and recovery functionality for Exchange Online, OneDrives for Business, and SharePoint Online.

Upgrades from an ‘On Us’ license will only be charged the difference between the Business Basic and Business Standard ($9/month). Qualifying plan required; contact us to activate. One subscription per line, up to 2 lines per account.

Full terms:  Activation requires access to Marketplace, a T-Mobile service providing access to Ingram Micro Inc.'s online business-to-business platform for purchasing third-party products and services. Platform and subscription use subject to applicable third-party licenses, terms, and conditions, including the Microsoft Customer Agreement at and Marketplace terms and conditions at . May not be combined with Netflix On Us, Family Allowances, or content-blocking features; adding these features will result in immediate cancelation of Marketplace subscriptions without further notice. Between $9.04 and $25.98 /mo. value, depending on plan and line count. Value not redeemable or refundable for cash or credit and may not be creditable towards other products. Must remain active and in good standing or licenses terminate and data becomes inaccessible. May take 1-2 bill cycles. Like all plans, features may change or be discontinued at any time; see  T-Mobile  Terms and Conditions at  for details.

Compare all Microsoft Office 365 Plans in one Overview

The Microsoft Office 365 plans offer great tools for businesses and enterprises to fully work in the cloud. Microsoft has changed the names of most plans to Microsoft 365 but also kept partially the Office 365 label. Comparing all the plans together on the Microsoft site can sometimes be a bit challenging, so to help you out I have created an overview to compare all office 365 plans.

If you have a small business with less than 300 users, then the most interesting plans are the Microsoft 365 Business plans. Large organizations will have to look at the Office 365 Enterprise and Microsoft 365 plans.

I have also written a couple of articles where I go more into detail between the different plans, you can find the links further down in the article.

With a price of $12.50 per user per month, you get the full Office 365 suite, with the desktop apps, Exchange Online, SharePoint, OneDrive, etc. Everything you need to get your business started in the cloud. If you also want to fully manage your devices (computers, mobile phones) or make use of advanced threat protection, then take a look at the Business Premium plan.

Office 365 Enterprise plans

The Enterprise plans can also be used by companies with less than 300 users, but they are more meant for companies that also need Active Directory integration or features like Litigation Hold and eDiscovery. You get more storage for Exchange Online, OneDrive, and SharePoint with the Enterprise plans.

Microsoft Office 365 license comparison

Start with an microsoft office 365 trial.

It can be difficult to select the right plan for your business with the many options that are available for Office 365. It’s good to start with the comparison of Office 365 plans, but keep in mind that you can also start with an Office 365 Trial . This way you can see what will work for your organization.

You can use your own domain for the trial, but only do that when you are really sure you are going to proceed with Office 365. Otherwise use a temporary domain, like Contoso-lab01, to test out Office 365.

There are a couple of trails available, Microsoft 365 Business Standard and Premium and Office 365 Enterprise E3 and E5 . If you have a small company, with less than 50 employees I recommend starting with a Microsoft 365 Business Premium trial. The business plans give you some nice features like Invoicing and Outlook Customer Manager which can be really useful in smaller companies.

If you have more than 50 employees I would recommend going for the Enterprise solution. It’s more expensive, but the Compliance and Information Protection services will help you protect your data and make it easier for you to comply with Business regulations and industry standards.

Comparing the plans side-by-side

I have written multiple in-depth articles about the differences between specific plans. These articles will help you when you can’t choose between E3 and E5 for example.

All data in this article is as of October 2022.

The difference between Office plans for individuals and those for SMBs is what you get with them. The Microsoft 365 business packages include additional or business-optimized services that simplify the collaborative work along with including familiar programs such as Word, Excel and PowerPoint.

Microsoft 365 small business solutions offers you familiar and trusted Microsoft applications as an online app or installable component. Microsoft also grants you access to useful tools and programs that primarily help you to develop, manage and advance joint projects, and facilitates internal and external communication.

Microsoft 365 is available for small and midsize businesses to book in four different plans for up to 300 people:

Microsoft 365 Business Basic

Microsoft 365 apps for business, microsoft 365 business standard, microsoft 365 business premium.

All of the small business solutions require you to sign up for a subscription, and you can choose between the slightly more expensive monthly subscription and the annual subscription . You pay for the former on a monthly basis, and you can cancel at any time without incurring any additional costs. On the other hand, early cancellation of the annual subscription, which can be paid both monthly and annually, usually incurs additional costs. You will not receive a refund for annual payments already made.

There are special solutions such as Microsoft 365 Apps for Enterprise for businesses with over 300 employees. Exchange Online Plan 1 offers a professional email server solution with Outlook support.

Among Microsoft 365 business plans, Business Basic is the ideal office suite for any company whose employees travel extensively or work from home but need access to project files and email at all times . The plan provides your company data with a secure storage platform and your employees with access to the most important Office applications via their browser . In addition, communication features such as shared mailboxes, web conferences or team websites facilitate collaboration on your projects.

Costs: from $6.00 per user per month

Business Basic in detail

Business Basic is the most affordable model for small and medium-sized businesses. It gives you access to the online versions of the four components Word, Excel, PowerPoint and OneNote via any standard web browser.

All employees can work on files from the above programs in real time at anytime from anywhere , as long as they have internet access. Files created with the online programs are compatible with the latest versions of the desktop applications, so you can send your own documents or open and edit external documents.

However, the focus of the Business Basic package is to help you and your company communicate and collaborate. To that end, the plan includes useful online services, which is where Exchange really stands out. Protected from viruses, spam and phishing attacks, the email system provides a central hosting platform for your company’s entire email traffic . Access messages at any time from any device via the Outlook Web app.

What’s more, every user gets a mailbox with 50 GB of storage space , as well as the ability to send attachments up to 150 MB in size. If you also purchase an installable Outlook version, you can retrieve your mails as usual via the client application interface. You can set up shared inboxes and calendars too.

Get Microsoft 365 Business Basic from IONOS and benefit from all the features it comes with.

The other services of Microsoft 365 Business Basic at a glance:

With the help of the business version of the well-known video conferencing software Skype, you can communicate comfortably by voice, chat or video - internally or with business partners. With Outlook integration, schedule your online meetings in advance and send personalized links for participation . Hold video conferences with up to 250 participants and up to HD 1080p quality. If you want to use Skype for Business, you need to download it from the Microsoft 365 portal beforehand.

Microsoft’s cloud storage OneDrive is the perfect solution to store and manage your company’s data. Create custom directory structures and specify which people can view, create or edit files. All files are available online, can be accessed from anywhere and with any device, and are always up to date thanks to synchronization. In Business Basic, 1 TB of storage space is available per person.

In addition to the Google Drive Alternative OneDrive, you can use the SharePoint application. Create team websites , which - simply put - represent a folder for the files of a specific project. All users involved can access the team documents and share files, info, etc. with each other.

With Sway, Microsoft offers you an application with which you can easily create a presentation of your latest products, an informative newsletter or an online training. Interactive and web-based , the created “Sways” can be easily shared and displayed on various display sizes.

Microsoft 365 Apps for Business is the right choice if you’re happy with the digital information and work structure within your company but are looking for a feature-rich and versatile office suite. This Microsoft 365 SMB plan, unlike the other Business offerings, does not include SharePoint, but OneDrive alone. The plan also assumes you already run an email server and rely on your own communications software, as Exchange is not available. In return, however, you get access to the desktop versions of the Office apps , including Premium features, as well as the handy Access and Publisher apps by signing up for a subscription.

Costs: from $8.25 per user per month.

Microsoft 365 Apps for Business also allows you to use the online applications of Word, OneNote, PowerPoint and Excel via browser or mobile app (iOS and Android). Users can install the suite on up to five Windows or macOS devices, as well as five mobile devices and five tablets, for a total maximum of fifteen devices.

Since Apps for Business has a link to the OneDrive for Business cloud , it is possible to share and collaborate on all files in real time. If you have been working offline, the cloud service will synchronize your documents as soon as you have an Internet connection again. Microsoft also provides 1 TB of OneDrive storage per person in this business package.

While the Sway presentation tool is also part of Apps for Business, Skype for Business and SharePoint team websites are not included. So, when it comes to project and corporate communications, it’s a matter of setting up alternative solutions. The Exchange mail hosting environment is also not included in Microsoft 365 Apps for Business. You therefore need your own mail server solution for archiving and providing e-mail traffic.

Microsoft’s Business Standard plan is the right choice for users who want to use the features of Apps for Business, but also need email hosting in the form of the Exchange application . Business Standard offers you the usual Office programs such as Word and Co, but also scores with practical tools such as Teams and SharePoint, which optimize collaboration.

Costs: from $12.50 per user per month.

With the Microsoft 365 Business Standard plan, you get all the functions from Business Basic , such as Word, Excel, PowerPoint, Outlook and OneDrive. Just as with Apps for Business, the desktop versions of the apps are available here, including premium functions.

Other applications in Business Standard are Access and Publisher , but these can only be used via PC. Access allows you to create and manage databases, while Publisher is used to design layouts for print publications, for example, and contains numerous templates.

You can promote your teamwork in Business Standard with the help of the Teams application, which enables online meetings with up to 300 people. Unlike Business Basic and Apps for Business, the Business Standard version gives you the option of holding webinars, which users can register for.

Finally, benefit from email hosting thanks to Microsoft’s cloud solution Exchange . The application gives you access to a mailbox with 50 GB of storage and a personal calendar for professional scheduling.

You can get Microsoft 365 Business Standard from IONOS at an affordable price, with many features for effective collaboration with your team.

With the Microsoft 365 Business Premium plan, you acquire the all-in-one solution for your company’s everyday office life, which not only presents a cross-company email solution (including calendar and 50 GB of storage per person), but also offers more security as well as protection-against-ransomware and other cyber threats.

Costs: from $22.00 per user per month

Microsoft 365 Business Premium includes all the features of Business Standard . This means that the package includes both the latest Microsoft Office products (online and desktop version) and access to the powerful communication platforms Exchange and Teams.

Business Premium offers you all the tools you need as a modern small business for structuring and collaborating on projects in one place. You are not dependent on additional hardware or software to operate an e-mail server or a file server.

Unlike the other business plans, the Exchange application gives you an additional archiving option that lets you customize policies around cloud archiving , for example. Your email hosting mailbox includes 50 GB, as with the other plans.

Another benefit that sets Business Premium apart from the rest of the Microsoft 365 business plans is “Advanced Threat Protection”. With various protections like Defender, App Protection, and Information Rights Management, your company’s devices and data are secured.

If you are interested in one of the Microsoft 365 Business Plans we have shown you, you can also take out a corresponding subscription directly with IONOS . In addition to the standard Microsoft features, this includes an optional setup service that guides you step-by-step through the installation and configuration of the applications.

To protect your data in the best possible way, IONOS offers you spam filtering and virus protection in addition to backup in certified data centers . In case of problems or questions about software, subscription or similar issues, support is available around the clock.

A great pro of these office solutions is that they combine IONOS hosting products and powerful Microsoft applications . Nevertheless, you only need to contact one person, no matter if it is about the invoice, technical support or the login for the Control Center.
